In short: we only collect what is needed to record your field work, verify it, and pay and supervise staff fairly. We never sell or share it outside DSWD, except when the law requires.

01Who we are

The PDBBM Tracker is the internal monitoring system of the Peace and Development Buong Bansa Mapayapa (PDBBM) Program, DSWD Field Office XII. DSWD Field Office XII is the personal information controller for the data in this system.

02What we collect

AccountName, email, password (stored only as a secure hash), role, assigned area and profile details.

Location logsGPS position and accuracy, address, time and date of each field visit.

PhotosVisit photos (with your face), the photo’s camera date, and the verification code stamped on it.

ReportsDARs, COAs, plans, attendance and the comments and approvals on them.

Sign-in activityLogin times, IP address, browser and device, and actions taken in the system.

NotificationsYour push subscription, if you allow notifications on your phone or computer.

03Why we use it

To record and verify field visits, so each location and photo can be trusted.
To let Team Leaders and the Administrator review, approve and return reports.
To send reminders (for example, the 4:30 PM DAR reminder and COA opening).
To keep the system secure and find misuse, such as reused or edited photos.
To prepare program reports for DSWD management.

04Legal basis and consent

We process your data to carry out DSWD’s mandate and your work duties, as allowed under the Data Privacy Act of 2012 (Republic Act No. 10173) and its Implementing Rules. When you sign in and tick the consent box, you also confirm that you have read this notice.

Location and camera access are asked by your browser. The system only reads your location and camera while you log a visit, never in the background.

05Who can see it

You can see your own records.
Your Team Leader can see the records of their team.
The Administrator and authorized program officers can see all records to manage the program.

We do not sell, rent or share your data with anyone outside DSWD, unless a law, court or government agency requires it.

06How we protect it

All traffic uses HTTPS. Passwords are hashed and never shown to anyone.
Access depends on your role, and repeated wrong passwords are blocked for a while.
Important actions are logged, and photos carry a verification code to detect tampering.
The database is backed up every night.

07How long we keep it

Records are kept while you are part of the program and afterwards for as long as government record-keeping and audit rules require. When they are no longer needed, they are deleted or made anonymous.

08Your rights

Under the Data Privacy Act you may ask to be informed, to access your data, to correct wrong data, to object, to ask for deletion or blocking where allowed, and to file a complaint with the National Privacy Commission.
